Why and How to create the best Welcome Book

Helping your guests feel welcome when they first arrive at your Caribbean vacation home is vital – and a Welcome Book can help them quickly settle in.

By providing a Welcome Book to show that you care about your guests by providing them with all the information, they need for the ideal holiday.

Creating a Welcome Book, however, can become time-consuming. With so many details and things to consider, it can be difficult to know where to start and what to include.

Thankfully, Shore Concierge can help you out! Below we’ve created a list of sections you can include to create the perfect Vacation Home Welcome Book.

1. A personal and friendly greeting

Help guests feel right at home by providing a heartwarming message welcoming them to their vacation rental. You can begin your Welcome Book by providing a friendly introduction with a photo. It helps show that you care about your vacationers and the experience that they have when on holiday. For an extra special touch, you can even personalize each message.

2. Contents and contact information

If you have a large Welcome Book, include a contents page, so guests can quickly find the pages most relevant to them. It is also important to include a list of vital phone numbers. Make sure your number or that of your property manager is featured, along with transport companies, stores, places of worship, restaurants, major attractions, and emergency contact numbers from the hospital, doctor, or dentist.

3. Property Information

One of the first questions people will have on arrival is, “What’s the Wi-Fi password?” After all, your guests will want to update their Instagram account with a picture from their dream vacation home! This, along with other important information about the home, should also be featured prominently in your Welcome Book. Instructions on working the TV or audio system, BBQ, washer and dryer, parking information, weather forecasts, and COVID-19 guidelines are all good to put in here. Also, if you have any specific house rules, like where guests can smoke, they can be included.

4. Local Information

Although some guests will have a good idea about the things they want to do on their vacation, others may come with an open mind. In this section, you can provide information about all the best restaurants, bars, tourist attractions, and nearby sights for people to enjoy. You could even include a map with potential walking and cycling routes or even nearby pharmacies, grocery stores, or convenience stores. It will be even more helpful if you include your personal recommendations.

5. Guest Comments

A Guest Comments section in your Welcome Book can be an invaluable source of favorable reviews, giving a powerful endorsement for your rental home. They can also alert you to any issues that need addressing. Leave some sections at the back of your book blank for people to fill in with their favorite memories or tips for future vacationers. You can also leave a message here to ask for people to leave you online reviews too.

Whether you use a digital or physical Welcome Book, remember to create a warm atmosphere for your guests. The first moments on vacation are some of the most important to set the tone. Be sure to put the book where your guests can’t miss it.
